Job Description

Lead group event delivery as the primary client-facing contact, coordinating planning, execution, and operational follow-through for resort meetings and special events.

Responsibilities

  • Serve as the primary point of contact for clients after contracts are finalized by the Sales team
  • Run planning meetings, site visits, and pre-conference meetings with group organizers
  • Develop and distribute Banquet Event Orders (BEOs), group resumes, and event specifications
  • Coordinate meetings, conferences, weddings, social events, and group activities end to end
  • Ensure client requirements and expectations are clearly communicated and executed
  • Respond promptly to client questions and requests during the planning process
  • Act as the liaison between clients and hotel departments, including Food & Beverage, Banquets, Culinary, Front Office, Housekeeping, and Engineering
  • Lead weekly and daily event meetings to review group requirements
  • Monitor event execution to maintain adherence to hotel standards and client expectations
  • Conduct event walkthroughs and final reviews with operational teams
  • Identify and maximize additional revenue opportunities through catering enhancements, group activities, room upgrades, and specialty event offerings
  • Monitor event budgets and support accurate billing
  • Review event charges and coordinate with Accounting to ensure timely and accurate invoicing
  • Track event profitability and support departmental revenue goals
  • Deliver service aligned with The Keys Collection brand standards
  • Proactively address client concerns and resolve issues quickly and professionally
  • Maintain strong relationships with repeat clients and referral partners
  • Keep accurate event records within the property sales and catering system
  • Complete event follow-ups: turnovers via telephone within 24 hours and written correspondence within 3 days
  • Know meeting room and event space setups and capabilities
  • Know sleeping room configurations and types
  • Manage existing accounts and follow up with client re-solicitations to drive repeat business
  • Be visible on the floor and assist staff as needed during functions
  • Plan and execute holiday and special events with the Director of Sales & Marketing
  • Participate in the required M.O.D. program as scheduled

Requirements

  • Bachelor's degree in Hospitality Management, Event Management, Business Administration, or related field (preferred)
  • Minimum 2-3 years of experience in conference services, catering, event management, or group sales coordination
  • Resort or full-service hotel experience (preferred)
  • Experience coordinating meetings, conferences, weddings, and social events
  • Experience with Microsoft Office, Delphi, and/or Opera Cloud (preferred)
  • Ability to work evenings, weekends, and holidays as business levels require
  • Ability to stand and walk for extended periods during events
  • Medium work: exerting up to 50 pounds of force occasionally, and/or 20 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects
  • Maintain a warm and friendly demeanor at all times
  • Effective verbal and written communication with employees and guests at all levels
  • Active listening skills to understand and clarify concerns raised by employees and guests
  • Multitasking and prioritization to meet deadlines
  • Strong understanding of hotel operations and banquet services
  • Excellent organizational, project management, and problem-solving skills
  • Ability to manage multiple events simultaneously in a fast-paced environment
  • Ability to build strong client and team relationships while handling guest interactions with service-oriented professionalism
  • Attend all hotel required meetings and trainings
  • Participate in M.O.D. coverage as required
  • Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling
  • Maintain high standards of personal appearance and grooming, including wearing nametags
  • Comply with Highgate Hotel Standards and regulations to support safe, efficient hotel operations
  • Maintain productivity by identifying problem areas and supporting solution implementation
  • Handle problems by anticipating, preventing, identifying, and solving as necessary
  • Understand and evaluate complex information and data to meet objectives
  • Maintain confidentiality of information
  • Perform other duties as requested by management
